Planning a Drone Show: Timeline, Quote and Checklist
A practical drone show planning checklist covering the brief, quote request, approvals, production milestones and event-day handover.
Start with the decision brief
Drone shows can take place indoors or outdoors. State the setting in your brief and ask the show team to confirm the requirements for that venue. Begin with purpose, audience and the moment you want people to remember. Add the venue, city and country, date or flexibility, event schedule, audience estimate, viewing direction, budget band and desired duration. Identify whether the show is stock, adapted or bespoke and whether music, narration, filming or livestreaming is required.
Share the brief with the venue and the executing provider. The venue may know access restrictions, residents, local events, power arrangements and landowner contacts. The provider needs the exact site to test the operation and identify regulatory work.
- Name the event owner, venue contact, creative approver and safety contact.
- Collect a site plan, coordinates, audience footprint and stage layout.
- List fixed deadlines such as ticket launch, press reveal and sponsor approval.
Work backwards from the event
Set milestones for feasibility, quotation, contract, creative concept, storyboard, animation approval, permit submissions, production rehearsal and event-day access. The exact lead time depends on location, operation, fleet, authority and provider availability. Do not treat a generic number of weeks as a worldwide rule; ask the provider what work is needed in your jurisdiction.
Leave time for one or more weather decisions and for communicating a postponement. If the event has a hard public schedule, agree the latest safe decision point and the alternative date before marketing the show.
A timeline also protects the organiser from avoidable rush fees and conflicting supplier commitments. Put the milestones in the event master schedule and invite the venue, provider, creative lead and communications team to review the same version.
- Make regulator and venue information available before final creative sign-off.
- Tie each payment and deliverable to a clear acceptance point.
- Keep a written change log so late requests do not disappear into email threads.
Final readiness
In the final phase, confirm access windows, launch and control areas, crowd barriers, security, power, sound, radio or phone contacts, parking, weather monitoring and emergency routes. Confirm that the provider has the current approved artwork and that the event team knows who can pause or cancel the operation.
After the show, collect agreed footage, invoices, incident information and audience or sponsor feedback. Store the final storyboard and media permissions if the show will be reused. If the show is postponed or cancelled, communicate the status honestly and follow the contract rather than promising a new flight informally.
Use the final briefing to test contact numbers and responsibilities, rather than treating it as a document that nobody reads. The small details of access, loading and guest movement are often what determine whether the agreed plan can be followed.
- Issue one event-day contact sheet to the venue, organiser and provider.
- Brief staff on where spectators may stand and where they must not enter.
- Confirm deliverables, usage rights and payment evidence after completion.
For the executing provider
Give the organiser a dated critical-path schedule showing feasibility, creative approval, authority submissions, access, go/no-go and handover. Identify the customer input that blocks each milestone.
- Name the schedule owner and escalation contact.
- Provide a change-control route for late artwork or site changes.
- Confirm post-show records and media delivery dates.
