How Drone Shows Work: From Brief to Flight

Drone shows can take place indoors or outdoors. State the setting in your brief and ask the show team to confirm the requirements for that venue. The process begins with an event brief: date, location, audience, purpose, duration, desired story and constraints. A creative team turns that material into a storyboard and scene list. It may test logos, text, colours, transitions and camera viewpoints before converting the approved idea into individual flight paths and light cues.

A provider will usually ask for clean artwork, pronunciation and spelling of words, music or narration details, brand rules, cultural sensitivities and approval contacts. Decide who has final sign-off and how many revision rounds are included. Late creative changes can affect animation, simulation, permissions and the event schedule.

Treat the storyboard as the shared definition of the creative result. It should show scene order, approximate timing, visual intent and exact wording. Written approval keeps a late preference from becoming an unpriced production change.

• Name one decision-maker and one backup approver.
• Approve a storyboard before asking for final animation.
• Clarify music licences, voiceover, logo rights and any third-party content.

Simulation and operational planning

The animation is converted into aircraft positions, speeds, colours and timing. Software simulation lets the team inspect the formation and identify collisions or transitions that need refinement. Simulation is not a substitute for a site assessment. The operational plan must connect the virtual choreography to the real launch area, audience, obstacles, airspace and local rules.

The flight team also plans batteries, charging or power, transport, control equipment, communications, crew positions, emergency procedures and the relationship between take-off, performance and landing. Regional approvals can be a significant part of the calendar. Your provider should state which filings it handles and which permissions or information it needs from the venue or organiser.

• Supply a scaled site plan with audience, stage, launch and restricted areas.
• Ask what technical rehearsal or on-site test is included.
• Record approval milestones for design, venue, regulator and event production.

Show day

On the day, the crew checks access, weather, equipment, launch area, communications and the relationship between the operating area and the audience. The aircraft are positioned and tested under the provider’s procedures. The responsible pilot or operation team decides whether the conditions and permissions support flight. A show can be delayed, shortened or stopped when the approved plan cannot be followed.

After recovery, the crew accounts for equipment and leaves the site according to the agreed arrangement. If filming is commissioned, the camera team needs its own positions, access, audio plan and deliverables. Ask for a post-event report when your event requires operational records or an incident summary.

• Keep the launch and control areas clear from build-up through recovery.
• Give the flight team one event-day contact with authority to coordinate access.
• Agree how postponement, cancellation and unused creative work are handled.

For the executing provider

Hand the organiser a production pack with the approved storyboard, site plan, access timetable, named decision-makers, technical rehearsal result and show-day contact chain. Record any approved creative or site change so the event team works from one version.

• Mark the final approved animation and version date.
• Brief venue staff on launch, control and recovery boundaries.
• Document postponement, incident and post-flight reporting routes.
