Drone Show Venue Requirements: Space, Sightlines and Access

Give the provider a real site

Drone shows can take place indoors or outdoors. State the setting in your brief and ask the show team to confirm the requirements for that venue. Start with the exact venue name, address or coordinates and the event map. Mark audience areas, stage, buildings, trees, roads, water, lighting, hospitality zones, emergency access and possible launch or recovery areas. A provider needs the actual geography and intended schedule to assess feasibility. A photograph from the stage alone is rarely enough.

The best viewing position may not be the best launch position. The operation may need a controlled area, a clear relationship between aircraft and spectators, a place for equipment and safe access for crew. The responsible operator will define the boundaries and explain what the venue must keep clear.

• Send a scaled map and recent photographs from audience and launch perspectives.
• Identify landowners, venue rules, nearby residents and other airspace users.
• Tell the provider about temporary structures planned after the initial site visit.

Sightlines and audience experience

A formation needs enough flight space, suitable lighting and separation to be legible, indoors or outdoors. Buildings or terrain can hide lower scenes; bright floodlights can reduce contrast; trees and cables can affect the available area. Multiple audience zones may see different perspectives, so decide which zone is primary and whether secondary zones need a screen or alternative view.

Keep public movement separate from the launch and recovery process. Integrate barriers, stewards, accessible viewing, evacuation routes and event timings with the provider’s operational plan. Never create your own exclusion distance from a generic internet figure; the operator and relevant authority determine the approved arrangement.

• Check the view from accessible, family and general-admission areas.
• Plan signage and steward briefings around the approved operational boundary.
• Coordinate lighting, screens and sound so they support rather than obscure the formations.

Venue costs and responsibilities

A quote may cover aircraft, crew and core planning while leaving fencing, event security, site power, venue access, local fees, accommodation or sound to the organiser. Ask the show team to confirm which items are included, who is responsible for the others, and any assumptions about parking, loading and overnight storage.

Local aviation and event rules may require information from the venue or organiser. Put responsibilities, access windows, insurance evidence, cancellation authority and restoration of the site into the customer-provider contract. The site is ready only when both the operational plan and the event plan agree.

A venue walk-through or video call can resolve practical questions early: where vehicles unload, whether equipment can be secured, who opens gates, and how the crew reaches the launch area. Record those answers so a new event manager does not have to reconstruct them on show day.

• Request an inclusions and exclusions schedule with the quotation.
• Confirm access for setup, testing, performance and recovery.
• Assign one venue contact who can resolve physical-site questions quickly.

For the executing provider

Return a venue feasibility pack that marks the proposed launch, control, recovery, audience and access areas against the supplied map. Record the assumptions that would trigger a new assessment.

• Identify map date, coordinates and surveyed obstacles.
• State setup, testing and recovery access windows.
• Obtain written venue acceptance of operational boundaries.
