Drone Show Weather, Postponement and Cancellation Plan
Agree drone show weather limits, go/no-go authority, postponement terms and audience messages before you promote the event.
Weather is an operational decision
Drone shows can take place indoors or outdoors. State the setting in your brief and ask the show team to confirm the requirements for that venue. For outdoor shows, wind, precipitation, visibility, temperature, lightning and local conditions can affect aircraft, batteries, lights, communications, audience safety and the approved operating plan. The relevant limits depend on the aircraft, operation, site and rules. Do not publish or rely on one universal wind number or distance. Ask the executing provider how it monitors conditions and who has authority to decide.
A forecast is useful for planning but does not guarantee a flight. The flight team must follow the aircraft limits, operations manual and conditions of its authorisation. The designated decision-maker may delay, shorten or cancel the operation when those conditions cannot be maintained. An event schedule or marketing promise cannot override the operating limits.

- Ask what weather data is used and how often it is reviewed.
- Keep audience, crew and venue responses aligned with the provider’s decision.
Agree the fallback before promotion
Choose a realistic alternative date or postponement window, subject to availability, permissions and venue access. State whether creative work, travel, crew, permits and venue costs carry forward. Explain how a cancellation differs from a postponement and whether any refund is due. If no alternative date exists, define the commercial outcome in the contract.
For ticketed or public events, coordinate the weather plan with the organiser’s ticket terms, public notices, insurance and suppliers. A postponement message should say whether the show is delayed, cancelled or awaiting a new date, and should point to the official update source.
- Set a customer-facing message template for each status.
- Confirm the alternative date before announcing the first show where possible.
- Record sunk costs, refundable amounts and rebooking responsibilities.
Show-day checklist
On show day, keep a current forecast and a clear communication chain. Confirm that the site, audience layout and airspace situation still match the approved plan. Protect equipment from rain and unauthorised access. If the provider stops the operation, pause audience movement and sound cues as directed, then communicate calmly through the event’s official channels.
After a change, document the reason, time, decision-maker and next step. Do not edit the public event page to imply a confirmed new time until the organiser and provider have agreed it. Retain the cancelled or postponed record so visitors can understand what happened.
The event team should know how to keep guests informed while a decision is pending. A holding announcement, a visible information point and a single online status page prevent contradictory messages. Keep the language factual and avoid suggesting that a new time is confirmed before it is agreed. Keep a prepared announcement available for presenters and stewards.

- Keep alternative entertainment and screen content ready if the event continues.
- Review the contract and insurance before making an audience promise.
For the executing provider
Publish the operational weather sources, measurement method, review times and decision authority in the event plan. Provide a dated postponement notice template and the contract outcome for each status.

- Notify venue, organiser, crew and audience owner through one chain.
- Preserve the final decision and incident record.
